Privacy policy

We collect as little about you as we can, we don't track you around the web, and we only use what you send us to help with your project. Here are the details.

The short version

  • This website sets no cookies for visitors and uses no analytics, advertising or social media tracking.
  • We only collect the personal information you choose to send us, usually by email.
  • We use it to reply to you and to deliver our work. We never sell or rent it.
  • A few service providers handle data for us, including Google, which may store data overseas. They're listed below.
  • You can ask to see, correct or delete what we hold about you at any time.

Who we are

Imagos Studio is a small, independent web design studio based in Australia. In this policy, "we", "us" and "our" mean Imagos Studio, and "you" means anyone who visits this website, gets in touch with us or works with us.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). We do this by choice as well as where the law requires it, because it's the right way to treat people's information.

What we collect

When you get in touch

When you email us or ask for a consult, we receive whatever you include: usually your name, email address and organisation, and sometimes a phone number, your website address, a budget and details of your project. If we talk by phone or video call, we may take notes of what we discuss.

When you work with us

For clients, we also keep contact details for the people we work with, billing details such as your business name, ABN and address, and the content and files you share for the project. To build or look after your website we may need access to your website, hosting or domain accounts. We store any logins securely and only use them for the work you've asked us to do.

When you visit this website

Like almost every website, our server keeps basic logs of each request: the IP address, browser type, page requested and the date and time. Our hosting provider uses these logs for security and to fix problems. We don't use them to identify you or to build a profile of you.

Please don't send us sensitive information, such as health details, through this website or by email. We don't need it to quote for or deliver a website.

Cookies and tracking

This website doesn't set cookies for visitors. We don't use analytics, advertising networks, social media pixels or any other tracking. Cookies are only used when a member of our team logs in to manage the site.

If we ever add analytics, we'll choose a privacy-friendly tool that doesn't track you across websites, and we'll update this policy before we switch it on.

Services that handle data for us

We use a small number of trusted providers to run the studio and this website:

  • Website hosting. This website is hosted on servers in Sydney, Australia, managed through xCloud on infrastructure provided by Vultr.
  • Fonts. The fonts on this website are loaded from Google Fonts. When a page loads, your browser connects to Google's servers, which receive your IP address and basic browser information.
  • Images. Some project screenshots are served from Google's servers, with the same effect.
  • Email. Our email runs on Google Workspace, so messages you send us are stored by Google.
  • Day-to-day tools. We use standard tools for file sharing, video calls, project management and accounting. We only put into them what each task needs.

You can read how Google handles information in the Google Privacy Policy.

We sometimes use AI tools to help draft and check our work. We don't put your personal information or confidential project details into AI tools without your agreement.

How we use your information

  • To reply to your enquiry and arrange a conversation
  • To prepare proposals and quotes
  • To plan, build, look after and support your website or project
  • To send invoices and keep the business and tax records the law requires
  • To keep this website secure and working

We don't send marketing emails. If we start a newsletter, it will be opt-in only, and you'll be able to unsubscribe at any time.

Who we share it with

We never sell, rent or trade personal information. We only share it:

  • with the service providers listed above, so they can provide their services to us
  • with a contractor working on your project, if you've agreed to it and they've agreed to keep your information confidential
  • with our professional advisers, such as our accountant
  • where the law requires us to

Information sent overseas

Google may store and process information, including email and the data your browser sends when loading fonts and images, in the United States and other countries. Some of the other tools we use may do the same. We choose established providers with strong security and privacy commitments, and we keep what we send to them to a minimum.

When we work on your website

When we build or look after a website for you, we may be able to see personal information it collects, such as form submissions or customer orders. We only access it when the work needs us to, we keep it confidential, and we never use it for anything else. Your organisation remains responsible for your own website's privacy policy, and we're happy to help you write or review one.

How we keep it safe

Our accounts use strong, unique passwords and two-factor sign-in wherever it's available. Access to client systems is limited to the people working on them, and this website is only served over a secure connection. No system is perfectly secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.

If a data breach is likely to cause you serious harm, we'll let you know as soon as we can, and notify the Office of the Australian Information Commissioner where the law requires it.

How long we keep it

If an enquiry doesn't lead to a project, we delete it within two years. For clients, we keep project and contact records for as long as we're working together, and business and tax records for at least five years, as the Australian Taxation Office requires. After that we delete or de-identify them.

Your choices and rights

You can ask us general questions without giving your name, although we'll need an email address or phone number to reply.

You can ask to see the personal information we hold about you, to correct it, or to have it deleted where we don't need to keep it. Email info@imagos-studio.net and we'll respond within 30 days. There's no charge.

Questions and complaints

If you have a question or concern about how we've handled your information, please email us first at info@imagos-studio.net. We'll look into it and reply within 30 days.

If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC).

Children

Our services are for businesses and organisations, and this website isn't aimed at children. We don't knowingly collect personal information from children.

Changes to this policy

We'll update this policy when the way we handle information changes, for example if we add a contact form or analytics. The date at the top shows when it was last updated.
